Extraordinary Parish Meeting, 20th August

Dear all, with apologies for the short notice, please find attached the agenda and paperwork for a brief,  ‘extraordinary’ Parish Meeting.

We need to meet to approve the annual audit paperwork, which is a legal and administrative requirement; parish councils are permitted to ‘meet’ and make decisions online but unfortunately this does not extend to us as a parish meeting.

We will meet on Thursday 20th 6.30-7pm outside the village hall, in the driveway, to observe social distancing. Please bring a chair with you if you would like to sit! And possibly an umbrella, looking at the weather today.

For the safety of all of us, it will be a very short meeting. There will not be any hard copies of the paperwork, except for those which Robert needs to sign, and we will, I am afraid, keep discussion to a minimum.

Agenda

1. Minutes of previous meeting.  Circulated by email – to approve

2. Annual accounts.    Circulated by email – to approve

3. Audit.   Circulated by email

                 Internal audit – to note

Annual governance statement – to approve

                 Accounting statements – to approve

Certificate of Exemption – to note

4. Finances

Annual donations to SCAN and the Village Hall – to approve

5. Election of Officers

The Chair and Clerk are happy to continue until our AGM in April

6. Any other business

7. Dates of next meetings

                • Late Nov/early Dec tbc

                • April 2021 date to be fixed at next meeting

It would be appreciated if you could raise any questions about the attached in advance by email so that I can address any queries before we meet, and so that we can use our time together wisely, which is really to approve the audit paperwork.

If there is any urgent business that Robert or I need to be aware of or follow up, please let me know.

Ward Councillors, if any of you would like to pop by for half an hour, you would be most welcome, although I appreciate it’s a short time to come for. So if there is anything to report that you would like me to circulate to the village email list, please let me know.

Having said all that, it would be lovely to see you albeit only for half an hour; perhaps you’d let me know if you hope to come?

With thanks for your understanding,

 Jo

Parish Clerk
